The Sole Workshop respects your privacy and ensures that the personal information you give us is kept confidential. 1. Purposes of Processing and Retention Period The Sole Workshop collects and processes your data for the purposes listed below. We use both data that you provide to us and data that we collect automatically (e.g., via Shopify). We retain personal data only for the time needed to achieve a particular purpose, or for the time prescribed by law.

  • Executing your order: To process your order, we need your name, email address, billing address, delivery address, payment details, telephone number, and size information. This enables us to deliver your order and update you on its progress. Retention: We are required by Belgian tax law to retain financial data about your order for seven years.

  • Customer Service: If you contact us via email or chat, we save your contact details and correspondence to answer your questions. Retention: Until the query is resolved or as long as necessary for our relationship.

  • Newsletter & Marketing: To provide product updates and offers, we store your email address. This data is collected via our subscription form or during checkout if you opt-in. Retention: Until you unsubscribe.

2. Legal Grounds of Processing We process personal data on the following legal grounds under the GDPR:

  • Contractual Necessity: Processing is necessary to fulfill your order (e.g., shipping your order).

3. Sharing Data with Third Parties The Sole Workshop will never sell your personal data. However, to run our business, we share data with trusted third-party processors in the following categories:

  • E-commerce Platform: Our store is hosted on Shopify Inc. They provide us with the online e-commerce platform that allows us to sell our products to you. Your data is stored through Shopify’s data storage, databases, and the general Shopify application.

  • Payment Processors: When you pay, your data is processed by our payment providers (e.g., Shopify Payments, PayPal, Bancontact providers). We do not store your full credit card details ourselves.

  • Logistics & Shipping: We share your name and address with couriers (e.g., UPS, DHL) solely to deliver your package.

  • Marketing Tools: If you subscribe to our newsletter, your email is processed by our email marketing provider.

4. International Transfers Some of our partners (like Shopify) are located outside the European Economic Area (EEA), specifically in Canada and the United States.

  • Canada: The EU Commission has determined that Canada offers an adequate level of data protection.

  • USA & Others: For transfers to the US, we rely on the EU-US Data Privacy Framework (where applicable) or Standard Contractual Clauses (SCCs) approved by the European Commission to ensure your data remains protected to European standards.
